When a New Zealand document is being used overseas, the correct process depends on both the destination country and the organisation receiving it. The Department of Internal Affairs handles New Zealand apostilles and authentications, but the document may need other preparation first.

What kinds of documents do people use overseas?
Common examples include birth certificates, marriage certificates, criminal records, passports or certified passport copies, degrees and education documents, powers of attorney, divorce or dissolution papers, Certificates of No Impediment, company documents and other New Zealand-issued records.

Apostille, authentication, notary or translation?
You may see several different terms in overseas instructions. They are not interchangeable. If you are deciding between the two main legalisation routes, read Apostille vs Authentication NZ.
Apostille
An apostille is an official New Zealand government certificate used for documents going to countries in the Hague Apostille Convention pathway. It proves that the signature, seal or stamp on the document is genuine.
Authentication
Authentication is used for destinations outside the apostille pathway. Depending on the country, the process can also involve the Ministry of Foreign Affairs and Trade and, for some destinations, an overseas embassy.
Notarisation
Some documents must be notarised before they can be apostilled or authenticated. Where the Department of Internal Affairs requires notarisation for this process, it must be completed by a New Zealand Notary Public.
Translation
An overseas authority may also require a translation. Translation and apostille/authentication are separate issues, and the order of steps can matter. We can help coordinate the translation component where needed.

One of the most common problems with overseas documents is starting with the wrong type of certification. For example, a person may arrange a JP-certified copy only to later discover that the Department of Internal Affairs requires an NZ Notary Public for that particular document.

How long will the process take?
Current Department of Internal Affairs processing for standard apostille and Category A authentication applications is within 15 working days. Eligible urgent apostille, e-apostille and Category A applications can be processed within 5 working days for an additional government fee. Category B authentication can take longer because overseas embassy steps may be involved.
Any notary, translation, document-ordering or courier steps can add time. We cannot promise faster government or third-party processing, but we can help keep the administrative steps organised.

Do all New Zealand documents need an apostille?
