Quick answer: a New Zealand birth certificate can be used in an apostille or authentication process when the overseas authority requires official proof of the document for use abroad. The first step is to confirm what the receiving country and organisation require.
Before you apply
Do not assume that every overseas authority wants an apostille. New Zealand uses different processes depending on the destination country: apostille, Category A authentication or Category B authentication. The overseas organisation may also have its own rules about the age of the birth certificate, translations and whether documents must be submitted individually or together.
What is an apostille for a birth certificate?
An apostille is an official government certificate used to verify the signature, stamp or seal on a New Zealand document for use in countries covered by the Hague Apostille Convention. In New Zealand, apostilles are processed through the Department of Internal Affairs Authentication Unit.
The apostille does not change the information recorded on the birth certificate. Its purpose is to authenticate the relevant official signature, stamp or seal so the document can be presented overseas.
Do I need an apostille or authentication?
The destination country is the key. Some countries use the apostille process, while others require Category A or Category B authentication. If you are unsure which applies, see our Apostille vs Authentication NZ guide.
It is also important to check the requirements of the overseas organisation receiving the birth certificate. A country may accept apostilles generally while a particular authority still has requirements about document age, translation or presentation. For the broader process, see Documents for Overseas Use.
Step-by-step: apostilling a New Zealand birth certificate
Check whether the receiving authority wants an apostille, authentication, translation or another form of document preparation.
Check that the certificate you intend to use is the version the overseas organisation will accept. If they impose an age or issue-date requirement, obtain a suitable certificate before starting.
The document and application must meet the Authentication Unit's requirements. Avoid adding unnecessary certification or notarisation unless it is actually required.
The Department of Internal Affairs Authentication Unit processes New Zealand apostilles and authentications.
If the receiving organisation requires a translation or the completed document needs to be sent overseas, plan those stages as part of the overall process.
Does a New Zealand birth certificate need to be notarised first?
Not every document needs notarisation before apostille or authentication. The correct preparation depends on the document type and the Authentication Unit's requirements. If notarisation is required for the New Zealand apostille/authentication process, it must be carried out by a New Zealand Notary Public rather than a Justice of the Peace or ordinary solicitor certification.
Our guides on JP vs Notary Public NZ and Who Can Certify Documents in NZ? explain this distinction in more detail.
Paper apostille or e-apostille?
New Zealand offers both paper apostilles and electronic apostilles. The overseas organisation should tell you which format it accepts. A paper apostille is physically attached to the documents, while an e-apostille is issued as a secure PDF.
For a direct comparison of the two formats, see our Paper vs E-Apostille NZ guide.
How long does a birth certificate apostille take?
Current New Zealand Government guidance states that standard apostille applications are processed within 15 working days. An eligible urgent service is available for apostille and e-apostille applications within 5 working days, provided the application meets the urgent-service requirements.
These are government processing timeframes, not promises made by NZ Document Assist. Courier, translation, overseas authority and other third-party stages can add time.
How much does the government apostille cost?
As at 8 September 2026, the New Zealand Government lists the fee for one paper or electronic apostille certificate as NZ$37. Eligible urgent processing is an additional NZ$120. Government fees can change, so we confirm current external charges when preparing a case.
NZ Document Assist's administrative Apostille Coordination starts from NZ$89, with government and other third-party costs separate unless expressly included in your written quote.
What if the birth certificate needs translating?
The receiving organisation may require a translation. New Zealand's process allows translation to be handled as part of an application in some circumstances, or you may organise a translation separately. If you arrange your own translation and it is being used in the apostille/authentication process, additional notarisation requirements can apply.
NZ Document Assist can provide translation coordination as an administrative service.
Common reasons birth-certificate applications become complicated
- Applying for an apostille before confirming that the destination actually requires one.
- Using a certificate that the overseas organisation considers too old.
- Assuming a JP-certified copy is interchangeable with a notarised document.
- Not checking whether a translation is required.
- Leaving insufficient time for government processing and international delivery.
- Sending several documents without checking whether the overseas authority wants them treated separately or as a set.
Can NZ Document Assist obtain or apostille the certificate for me?
We provide administrative document assistance and coordination. Depending on the circumstances and what you authorise us to do, we can help organise the workflow, check the administrative requirements, coordinate apostille or authentication handling, arrange notary or translation coordination where required, and organise courier return.
We are not a government agency and we do not issue apostilles ourselves. Apostilles and authentications are government processes. You can see our coordination steps on How It Works.
Frequently asked questions
Can a New Zealand birth certificate be apostilled?
Yes, New Zealand birth certificates can be used in the apostille process where an apostille is the correct requirement for the destination country and receiving authority.
Do I need the original birth certificate?
The document must meet the Authentication Unit's requirements and the receiving authority's requirements. Before submitting anything, confirm whether the particular certificate you have is acceptable.
Can a JP apostille my birth certificate?
No. A Justice of the Peace does not issue apostilles. Apostilles in New Zealand are processed by the Department of Internal Affairs Authentication Unit.
Can I get an e-apostille for a birth certificate?
New Zealand offers e-apostilles, but you should first confirm that the overseas organisation accepts the electronic format.
Does an apostille prove the information on my birth certificate is true?
An apostille authenticates the relevant signature, stamp or seal on the document. It is not a separate investigation or guarantee of every fact recorded in the document.
Can the completed birth certificate be sent overseas?
International delivery can be organised. NZ Document Assist also offers Courier & Document Return coordination.
